Project Coordinator – Sign and Graphic Expo (SGE) (Re-advertised)

The Project Coordinator is responsible for managing and executing high-impact projects such as exhibitions, conferences, B2B meetings, and design-focused forums within the sign and graphic industry. The ideal candidate will have a strong understanding of the sign and graphic sectors. This role requires strategic planning, stakeholder engagement, and cross-functional collaboration to deliver successful and financially viable events that position SGE as a leading platform in East Africa.
Key Roles and Responsibilities
Project Planning & Development
- Develop project documentation including concept notes, brochures, exhibitor manuals, and technical session outlines
- Research industry trends in digital printing, signage production, and related technologies
- Design event layouts and prepare event programs
- Coordinate keynote speakers, moderators, and technical sessions
Stakeholder Engagement & Partnerships
- Identify and engage associations, NGOs, research institutions, and corporate partners
- Support marketing and sales teams in preparing sponsorship packages and exhibitor proposals
- Maintain strong relationships with exhibitors, partners, and stakeholders
Marketing & Content Collaboration
- Collaborate with communications teams to develop social media content, newsletters, and press releases
- Support promotional campaigns targeting industry stakeholders
- Contribute to sector-focused publications and event materials
Event Execution & Operations
- Oversee on-site execution including booth construction, product displays, and logistics
- Ensure compliance with safety and operational standards
- Coordinate event operations and stakeholder support
Performance Tracking & Reporting
- Monitor event performance, attendance, and stakeholder satisfaction
- Prepare performance reports and post-event analysis
- Document workflows and project learnings
Administrative & Financial Management
- Manage project budgets and track expenses
- Coordinate vendor negotiations and contracts
- Provide weekly and monthly activity reports
- Support internal coordination across departments

Education & Experience
- Bachelor’s degree in Project Management, Graphic Design, Business Administration, or related field
- Minimum 2 years of experience in project management or event coordination
- Experience in the sign and graphic industry is preferred
