Job Summary
- we are seeking a highly organized and proactive Executive Secretary & Assistant to provide comprehensive administrative and operational support to our General Manager. The ideal candidate will act as the primary point of contact for internal and external parties on all matters relating to the GM's office. This role requires exceptional communication skills, high confidentiality, and the ability to manage multiple priorities smoothly in a fast-paced corporate environment.
Key Responsibilities
1. Executive & Administrative Support
• Manage, coordinate, and maintain the General Manager’s complex calendar, scheduling appointments, meetings, and travel arrangements.
• Act as the gatekeeper for the GM's office, screening phone calls, inquiries, and requests, and handling them appropriately.
• Prepare, edit, and format high-level correspondence, memos, agendas, presentations, and reports for the GM.
• Organize and facilitate internal department meetings, take detailed minutes, and track follow-up actions.
2. Communication & Coordination
• Serve as a reliable liaison between the General Manager, internal department heads, and external stakeholders or clients.
• Welcome and host high-profile guests, partners, and clients visiting the executive office.
• Handle incoming and outgoing mail, emails, and packages, prioritizing urgent matters for the GM's attention.
3. Records & Office Management
• Maintain a highly organized, secure, and confidential physical and digital filing system for corporate documents.
• Oversee the daily administrative needs of the executive suite, ensuring office supplies are stocked and equipment is functional.

• Education: Bachelor’s degree in Secretarial Science, Office Management, Business Administration, or a related field.
• Experience: Minimum of [e.g., 3 to 5] years of proven experience as an Executive Secretary, Personal Assistant, or Admin Assistant
• Language Proficiency: Fluent in Afaan oroomo , English and Amharic ( written and spoken) with excellent drafting and editing skills.
